8 Registration, Attendance, & Reporting Tasks

In addition to learning outcomes assessment reporting, found here, the following student reporting tasks and events occur:

Faculty Registration Override: Add students to your course roster.

Attendance Tracking: Pima Community College is an attendance-taking institution. As such, attendance must be marked every seven days. In general, students should be marked as “Present” if they have attended the class session. For online and/or self-paced courses, students must have participated in, or completed an academically related activity.


Never Attended (NA) Grades: NA stands for Never Attended. Students given a status of NA must never have attended class and must not have a last date of attendance (LDA) attached to their attendance record.

Students who have not been marked present will be automatically dropped from your courses on the day after the NA Grade drop deadline. Please take a moment to verify attendance is accurate by end of this day.

45th Day Reporting: The 45th Day is a mandatory student enrollment report and must be completed within a 7 day period. At the end of this period data is compiled and analyzed for College reporting needs.

The College will use online census reporting procedures.  Only the CRNs required for census reporting will be available for you to update. Enrollment in other CRNs (mainly non-traditional terms) is collected in a different manner and will not be needed for census reporting.  (Dual enrollment courses are usually in this category).

By clicking the submit button on the electronic roster you are certifying the enrollment status to be accurate for State census reporting (this is equivalent to a written signature on a paper roster).  NOTE: Although we’d like to utilize Attendance Tracker data in place of the 45th Day reporting requirement, Arizona Revised Statute (ARS) does not currently permit such.

***As a reminder, if you enter a “W”, you must also enter the last date of attendance (LDA), if it is not already populated.*** (See instructions in MyPima for additional information and guidelines.)

If you find that you need additional information, or if you have any challenges meeting this deadline, assistance will be available at each campus.  Please contact your Department Head or Dean for direction. Thank you for assisting the College with its State-mandated reporting requirements.

Guidelines on whether to report a student PR (present) or W (withdraw).

  1. Has the student ceased participation after the drop date when the initial NA reporting was completed? (i.e., no academic progress and no response to communications from the instructor since the NA reporting was completed.)
  2. Has the student been marked absent (0 attendance) since the first weeks of class (the drop date)?

If I answer yes to both of these, then a W should be reported. I ask that you make every effort to reach out to students to inform them of the possible W due to non-attendance / no academic progress since the first weeks of class.   Note that the 45th day W is not for a student who has made some progress and/or is currently failing but has been participating, even though not consistently. The W is for students who have stopped working and participating for many weeks.
